Response Mailer Tutorial - Broadcast a message to subscribers

This tutorial walks you through the steps to setup Response Mailer to send a broadcast message to all your subscribers. A broadcast email does not interfere with the scheduled followup message sequence.

Step 1: Create a Broadcast Responder
Choose option “New Broadcast Responder” from the “File” menu.

Step 2: Create a New Broadcast Responder
The following screen will be displayed.
Click on the “Create” button.

Step 3: Setting General Broadcast Information
The following screen will be displayed.

The key fields on this screen are :
- Title – enter short title for this campaign
- Description – enter a short description for this campaign
- Mail account – use the pull down menu to choose the mail server that will be
used for sending this auto reply or choose option “Add E-Mail Account” to create a new E-Mail Account.

After entering the information click on the “Next” button to move onto the next screen.

Step 4: Create the Delivery Schedule
The following screen will be displayed.
The key fields on this screen are :
- Send date – enter date to deliver the email
- Send time – enter time to deliver the email
- One-time broadcast – choose this option for a one-time adhoc message broadcast
- Repeat broadcast every – choose the option to repeat the message broadcast weekly or monthly.
- End date – enter to date to stop the broadcast repeat.
After entering the information click on the “Next” button to move onto the next screen.

Step 5: Create the Message
The following screen will be displayed.
Click the "Message" button to add a message.
The following screen will be displayed.
The key fields on this screen are :
- From – the senders email and name
- Subject – enter the subject of the message
- Attachments – click on the “Add” button to add a document that will be sent as an attachment
Enter the From and Subject and click the "Next" button.
The following screen will be displayed.
Enter the body of the message. For HTML message you can utilize the
toolbar to add various formatting to the message.
Click the "Finish" button to save the message.
Step 6: Select the Prospects
Select the prospect database and specify which prospects should recieve the broadcast
.
The key fields on this screen are :
- Database – select the followup database to use.
- Prospect state – select whether to include all prospect or just the active or inactive ones.
- Condition – select the condition for additional prospect filtering.
After entering the information click on the “Finish” button.

Step 7: Verify
If you had set your 'Send date/time' a few minutes ahead of the current time then wait a moment for that time to pass.
Right-click this Broadcast and select Receive/Send
from the menu. This will allow Response Mailer to immediately deliver any pending messages.
Note: that the program will automatically scan your inbox for new
message and send the autoreply, but since we want immediate results we
are manually activating the Receive/Send operation.
Check the recipient mailbox for the broadcast email.
Once you have it working you can edit the broadcast message, prospects and delivery schedule.
