ResponseMailer email processor can be setup to as a autoresponder to automatically send an email message when a specific type of email sent to your mailbox. Auto responder popularity most likely stems from its vast variety of uses, as it eliminates the need to manually answer every response.
Autoresponders are most commonly used for an "Out of Office" style message to inform your correspondents that you are not available, without you having to reply manually. You can have more than one auto responder on one account with one each setup to cater to a specific type of message.
You can use plain text or include HTML code in the autoresponder as well as personalize your reply.
To add an auto responder
- Select New/Add Responder from the menu.
- Click the 'Account' button. If you have already setup your incoming and outgoing email server then just click the OK button to move to the next step.
To setup your POP3 (incoming) mailbox :
Select File/New from the menu.
Enter your POP3 login information.
Enter the time that to check for new messages.
Click the 'Next' button.
To setup your SMTP (outgoing) mailbox :
Enter your SMTP login information.
Click the 'Finish' button.
- Click the 'Add' button on the Account Information screen.
Enter a title and select your incoming e-mail server.
Click the 'Next' button.
- Click the 'Add' button on the Email Filters screen.
Select 'Recipient' and enter your email address in the 'Contains' field.
Click the OK button.
Click the 'Next' button.
- Click the 'Next' button on the Email Extractor screen.
- Click the 'Add' button on the Outgoing Email Actions screen.
Select the SMTP server to use.
Enter your email address in the 'From' field.
In the 'To' field enter <%_SenderEmail%>
Type in your 'Subject' text.
Click the 'Body' tab and type your auto response message.
Click the OK button.
Click the 'Finish' button.
- Send a test message and check the recipient mailbox for the auto response email.
- Now you can edit this responder to send the email as HTML and add additional filters, extractors and actions.
