Extract the email address from my emails

Response Mailer autoresponder software can be setup to extract the email address from the body of the message. Many autoresponder programs allow you to reply to the sender of the email. However, there are many cases where the email address that you want to autoreply is not the sender's email address. Instead you want to get to the address that is buried into the body of the incoming message. One good example of this is where your web site allows your visitor to fill out a form to request additional information. On the web form the user enters their full name, mailing address, email address, etc. and clicks the submit button. This in turn sends you an email with all the information that was entered.

Now that you have the information in email format, how do you extract the different pieces of information so that you can add it to your prospect database? I have found that many persons find it easiest to print these email messages and then re-enter it into their prospect database. Response Mailer auto responder can eliminate all these steps and add the data directly to your leads database. Saving you paper, ink and most of all lots of time.

For this to work you would setup an auto responder to extract the necessary information from the message and merge the extracted fields with your message template.

The following is an outline of how this can be done:

  1. Locate the leads email message in your mailbox.
    Determine what filters precisely identify the emails that you want to send auto replies. For example you can create a subject filters where the subject line contain - "New Lead Found"

  2. Determine what information should be extracted.
    Identify where the fields are located and determine what word(s) indicate the start and end of the field. For example you can create an email field where
    the email information starts after the word "E-mail :" and goes to the end of the line.

  3. Create a auto-reply template message.
    Create the email with the content that you wish to send to the prospect. While doing this you can add merge fields that will represent the actual data that is extracted from the incoming email. For example you can create template and add the [[email]] field as the recipient.

  4. Add the prospect to the database.
    You can add all the extracted email address as well as any other extract field to the leads database.

Once the lead's email address has been added to the prospect database you can begin to send the subscriber the sequence of follow up emails they sign-up for. Provided that you received permission from the subscriber you can find many other uses of the sequential autorespoder feature in ResponseMailer.
